The baseline

We measure the current state and you sign off on it. You cannot reconstruct a before-number after the fact.

  • Days to collection

    How long cash sits after the work is done.

  • Hours per week, and by whom

    Who is doing the chasing, quoting, or re-keying.

  • Cycle time

    How long a job, invoice, or request takes end to end.

  • Volume

    How often the work actually happens.

  • Error rate

    Missed follow-ups, wrong invoices, dropped requests.

  • Money in play

    Open receivables, unquoted leads, work finished and unbilled.

In writing

The written spec

After 48 hours of completing our scoping, you will receive a proposal in the form of a written spec. Expect numbered, testable outcomes, validated use cases to implement, what tools are involved, what is out of scope, a timeline, and a dollar investment.

August 2026

QuickBooks already sends reminders, shows aging, and records a payment that landed in QBO. This spec is the gap QBO cannot see: the job finishing in another tool, the hours, extra work, and a Monday list that does not require logging into accounting.

Outcomes

  1. 01When a job is marked complete in the project tracker, a draft invoice exists in QuickBooks within one business day, with lines taken from the recorded work, not from memory.
  2. 02Time or items that were done but never billed are listed before the invoice is sent, not found at year end.
  3. 03Work that was not on the original quote is not invoiced until it is agreed in writing.
  4. 04Monday morning, a one-page list of who owes what is in the owner's inbox. They do not open QuickBooks to get it.

  • QuickBooks native reminders, A/R reports, and payment recording
  • Replacing QuickBooks
  • Collections past 45 days (handed to the owner)

We build it

It's a written spec and a fixed price. If the system doesn't do what the spec says, we keep working at no additional charge.

We check each numbered outcome in the written spec, one by one, on your real data when we hand the system over. This covers those outcomes.

No additional charge means our time to make the outcomes pass. It does not cover new work you add later.

If you want to change what we are building, we write a new spec and a new fixed price before we start.

Not covered: changing the plan mid-build, swapping tools mid-build, data you do not give us, or work your team will not use.

We teach you to build it

Every cohort ends with a powerful, smart solution running inside your business. Your team keeps the workflows, the documentation and the access.

You leave with at least one named workflow from the agreed list. It runs on your data, in your tools, and does work someone on your team was doing by hand that morning. Not a demo. Not a slide.

Same commitment whether it is a cohort, a lab, or coaching.

If you do not leave with a running solution, we run it again at no additional charge.

Not covered: what your team builds alone after we leave, changes we did not review, or tools you swap mid-way.
